PROCUREMENT GUIDE
Power wheelchair sourcing checklist
A practical B2B checklist for model selection, samples, quantities, documents, packing and repeat supply.
Target market and model selection
Before sending a supplier inquiry, define the country where the products will be supplied and the channels you serve. A distributor building an assortment and a private label business developing a launch may need different samples, packaging and support.
Shortlist model numbers and compare frame material, folding configuration, net weight, maximum user weight, battery and motor. Similar frames may have different batteries, controls or other components.
Quotation requirements
List an estimated quantity for each model, even when the quantity is preliminary. Explain which models need samples and how you intend to evaluate them. Share a purchase timeline and destination so the quotation can address more than the product alone.
- Model number and intended configuration.
- Estimated quantity for each model.
- Sample and acceptance requirements.
- Branding, carton, label or manual requirements.
- Target country and required product documents.
- Destination port and expected purchase timing.
Specification review
A range value described as theoretical should remain theoretical in your planning. Ask about the conditions behind it. Similarly, confirm whether net weight includes the battery and which components and accessories are supplied.
Confirm overall and folded dimensions, measurement units, wheel positions and final packing details for the selected configuration. Record any clarification in the approved order specification.
Repeat-order records
Ask how the agreed configuration will be identified on repeat orders. Discuss spare parts, service information, approved changes and how packaging should be kept consistent.
Save the quotation, approved sample specification and document set together. They form a more useful procurement record than a series of disconnected product screenshots. Use the RFQ list to send a single model-by-model brief to the supplier.
This guide supports business procurement. Individual clinical suitability and destination-market requirements need separate review.
