DISTRIBUTOR OPERATIONS
Spare-parts planning for distributors
A practical guide to discussing model identification, parts lists, service information and repeat configurations with a power wheelchair supplier.
Model-specific support requirements
When a distributor selects several wheelchair models, the support requirements deserve the same attention as the headline specifications. Similar-looking products do not establish that controllers, wheels, motors, brakes or batteries can be interchanged.
Start by listing the exact models and configurations you intend to source. Ask the supplier to identify the parts and documentation associated with each, rather than building a replacement plan from photographs.
Local service arrangements
Explain whether you hold local parts, work with a service partner or coordinate service through your dealers. Identify the information your team needs to recognize the supplied configuration and place a replacement-parts inquiry.
Ask about parts availability, model identifiers, service documentation and how changes will be communicated. Parts availability, warranty coverage and lead time require individual confirmation.
Sample evaluation and parts identification
Use the sample stage to review product identification and the documentation your team will receive. Ask how to distinguish approved parts and which procedures require the supplier’s instructions.
Do not assume that a component substitution is suitable because its external dimensions or electrical rating appear similar. Have the manufacturer confirm the intended replacement for the specific configuration. This guide is a procurement checklist, not a repair procedure.
Repeat-order configuration records
Store the confirmed configuration, supplied identifiers and agreed support arrangements alongside the purchase record. When a repeat order changes a component, update the record before mixing the new batch into the existing assortment.
Include your spare-parts planning needs in the multi-model RFQ. This makes support part of the commercial conversation from the beginning and gives the supplier enough context to respond to your channel requirements.
This guide supports business procurement. Individual clinical suitability and destination-market requirements need separate review.
